Refund & Cancellation Policy

This Refund & Cancellation Policy applies to all payments made on jrksas.org, the website of the Journal of Kolkata Society for Asian Studies, operated by the Kolkata Society for Asian Studies ("the Society", "we", "us", "our"). It should be read together with our Terms & Conditions and Publication Ethics & Subscription policy.


1. Nature of Our Products & Services

Payments made on this website fall into the following categories:

  • Digital downloads of a single article/paper, a single issue, or a full volume of the Journal (delivered as a PDF file).
  • Annual subscriptions to the Journal (individual or institutional/library).
  • Article Processing Charges (APC), payable by authors after formal acceptance of a manuscript.

As these are digital products and editorial services rather than physical goods, our refund policy differs from a typical physical-goods "return" policy, as set out below.


2. Digital Downloads (Article / Issue / Volume)

  • Once payment is successfully completed and a download link has been issued, the purchase is treated as delivered. No refund will be issued once the file has been successfully downloaded, as the digital content cannot be "returned."
  • If your payment was deducted but you did not receive a working download link, or the link failed due to a technical fault on our end, you are entitled to a full refund or a replacement download link, at the Society's discretion.
  • To request this, email kspublication1@gmail.com within 7 days of the transaction date, with your payment/transaction reference ID and the item you attempted to purchase.

3. Annual Subscriptions

  • Once a subscription payment has been processed and the subscription period has commenced, it is non-refundable.
  • An exception applies in the case of a duplicate payment or a clearly erroneous charge (e.g. being charged twice for the same subscription period), which will be reviewed and refunded on a case-by-case basis upon verification.
  • Subscription-related refund requests should be sent to ksasianstudies@gmail.com with proof of payment.

4. Article Processing Charges (APC)

  • APC payments are non-refundable once paid, regardless of the final editorial outcome of the manuscript, as this fee covers editorial handling, peer review management, formatting, and archival processes that begin as soon as payment is received.
  • This is consistent with our published Publication Ethics & Subscription policy and the notification sent to authors at the time of manuscript acceptance.
  • If you believe an APC was charged in error (e.g. duplicate charge, or incorrect amount charged), please contact kspublication1@gmail.com within 7 days with your paper ID and payment reference.

5. Cancellation Before Payment is Completed

You may cancel a transaction at any point before completing payment on the payment gateway's checkout page, simply by closing the payment window or not completing the payment steps. No charge will be made unless the transaction is fully completed and confirmed by the payment gateway.


6. Failed or Pending Transactions

If an amount is deducted from your account but the transaction shows as "failed" or "pending" on our website, please wait up to 5–7 working days, as such amounts are usually auto-reversed by the bank or payment gateway. If the amount is not reversed within this period, please contact us at kspublication1@gmail.com with your payment reference ID and bank transaction details, and we will assist in following this up with our payment gateway partner.


7. How Refunds Are Processed

Any refund approved under this Policy will be credited back to the original mode of payment used for the transaction (the same card, UPI ID, or bank account). Processing time is typically 7–14 working days from the date the refund is approved, though this may vary depending on your bank or card issuer's own processing timelines, which are outside our control.


8. How to Request a Refund

To request a refund under any of the categories above, please email the relevant address (as indicated in each section) with the following details:

  • Full name and email address used for the payment
  • Date and approximate time of the transaction
  • Payment/transaction reference ID (from your payment confirmation or bank statement)
  • Item purchased (article/issue/volume title, subscription type, or paper ID for APC)
  • Reason for the refund request

We aim to acknowledge all refund requests within 3–5 working days.


9. Changes to this Policy

The Society reserves the right to update this Refund & Cancellation Policy at any time. The version published on this page at the time of your transaction shall apply to that transaction.
